Data quality refers to how suitable data is for use and whether it serves its intended purpose. It is reflected in its accuracy, completeness, consistency, timeliness, and the reliability of its source.
Before Entering Data
• Verify that the source is official and reliable.
• Use approved fields, lists, and formats.
• Collect only the data required for the specified purpose.
• Do not enter estimated or unverified information as fact.
During Data Entry and Processing
• Review names, numbers, and dates before saving.
• Complete all required fields, and never use fictitious data to bypass them.
• Check that no existing record is available before creating a new one.
• Preserve the meaning of the data when transferring, merging, or reformatting it.
After Entering Data
• Update the data whenever it changes or an error is identified.
• Verify its consistency across the source, system, and report.
• Report any duplication, missing data, or inconsistencies to the Data Owner or Data Steward.
• Do not modify or delete any record without proper authorization and an approved procedure.
